JOB DESCRIPTION – EAST ANGLIAN TRADITIONAL MUSIC TRUST (EATMT)
Job Title: Volunteer Coordinator
Reports To: Project Director
Liaises with: Project Co-ordinator, Events Promoter and Trustees as appropriate.
Contract: 21 month fixed term – March 2026 to November 2027 (with potential for extension)
Hours: 1 day a week or 7.5 hours per week but prepared to be flexible based on the needs of the Trust and job role
Job Purpose
The Volunteer Administrator is responsible for ensuring that sufficient volunteers are available, trained, and able to complete all tasks assigned to them. This includes Traditional Music Day as well as a variety of community and school-based events across Suffolk.
Key Duties and Responsibilities
- Recruitand train volunteers and work closely with them to ensure they understand and meet expectations.
- To organise a programme of volunteering for all events ensuring there is sufficient volunteers to meet health and safety, event, and venue requirements.
- To liaise with the Project Director, Project Coordinator and Events Promoter to ensure the success of all projects and events hosted by EATMT.
- To encourage and promote opportunities for a diverse and inclusive community to become involved the work of the Trust especially Traditional Music Day.
- To promote opportunities for volunteering through community, school, and college engagement in liaison with the Project Director, Project Coordinator and Events Promoter.
- To seek feedback from visitors and volunteers after events and proposed any changes necessary to increase engagement, as appropriate.
Skills and Experience
Essential
- Experience working with volunteers, staff or trustees in a community or arts setting.
- Proficient in Microsoft Office and email systems.
- Strong organisational and time management skills with the ability to prioritise work and meet deadlines.
- Ability to work independently and take initiative while also being an effective team member.
- Excellent written and verbal communication skills.
- Confidence liaising with a wide range of people including artists, partner organisations, schools, community groups, volunteers, and funders.
- Ability to plan, schedule and deliver multiple activities running simultaneously.
Personal Qualities
- Passion for music, song, and dance.
- Professional, reliable, and friendly approach.
- Commitment to inclusivity, safeguarding, and community engagement.
- Willingness to work flexibly including some weekends and evenings.
- Willingness to undertake relevant training (safeguarding, health, and safety etc).
- Ability to co-ordinate volunteer activities
- Ability to represent the Trust positively at events.
Desirable
- Background or strong personal interest in traditional folk music, dance, or cultural heritage.
- Safeguarding training (particularly relating to children or vulnerable adults).
- First aid training
